Manage Groups

Create and edit the groups that organize your agency's members.

Groups let an agency administrator organize members into teams, message groups, and module groups. The Manage Groups screen lists every group as a card showing its name, abbreviation, description, member count, and three yes/no flags. From here you can add a new group or edit an existing one, setting whether it is private, a message group, and a module group.

This screen is part of the Admin Tools and requires an agency administrator role. If you do not have admin access, you will not be able to reach it.

Overview

The header reads with your agency's name at the top of Agency Settings, and this screen lists every group as a card. Each card has a blue pencil button in the bottom-right corner.

Line on the card	What it shows
Group:	The group's name, in bold.
Abbreviation:	A short code, up to four characters.
Description:	The optional note. This line is hidden entirely when there is no description.
Members:	How many members are in the group.
Private:	Yes or No.
Message Group:	Yes or No.
Module Group:	Yes or No.
State:	The group's current state, such as active.

The three-dot button at the top right holds a single menu choice: Add Group.

There is no delete button on this screen. Groups are retired by changing their state on the server rather than being removed from the app, which keeps the historical record intact for members who were once in them.

Getting Here

1. Open the Account tab and tap the Settings module to reach Agency Settings.
2. Expand the Overview section in the settings list and tap Groups.
3. The Manage Groups screen opens, listing every group as a card after a brief spinner.
4. Tap the Back arrow to return to the settings list.

Adding a Group

1. Tap the three-dot menu at the top right and choose Add Group. The add screen opens.
2. Enter a Group Name and an Abbreviation — both are required.
3. Optionally add a Description.
4. Use the Private, Message, and Module checkboxes to set the group's behavior. All three start unticked.
5. Tap Save. A confirmation message appears and the new group is added to the list.

Fields on the Add Group form

What the three flags do

Flag	When it is on	When it is off
Private	Only an administrator can put people in or take them out. Members see no Leave button on their own profile.	Members can join and leave the group themselves.
Message	The group can be addressed as a destination in the messaging tools.	The group is for organization only and does not appear as a messaging destination.
Module	The group can be used to control which members get access to particular modules.	The group has no bearing on module access.

Messages you may see when saving

Message	What it means
"Please enter group name"	The Group Name field is empty.
"Please enter abbreviation"	The Abbreviation field is empty.

On success, the server's own status message appears briefly and you return to the list, which reloads.

Editing a Group

1. Find the group and tap its blue pencil (Edit) button.
2. The Edit Group screen opens with the name, abbreviation, description, and the three checkboxes already set to their current values.
3. Change any field or toggle the Private, Message, or Module checkboxes.
4. Tap Save. The list reloads with your changes.

If you tap Back with unsaved changes, the app asks "Data Updated — Do you want to save changes?":

Choice	What happens
Save	Runs the name and abbreviation checks, then saves and returns to the list.
Cancel	Discards your edits and returns to the list.

Tapping Back with nothing changed returns to the list without asking. Note that ticking or clearing any of the three checkboxes counts as a change.

caution

Turning Private on for an existing group takes away members' ability to leave it themselves. Turning Message off removes the group as a messaging destination, which can break the way a crew is used to reaching each other. Think through the effect on the people already in a group before changing its flags.

Loading and Empty States

Situation	What you see
Opening the screen	A brief spinner, then the cards.
Your agency has no groups	An empty list. Use Add Group to create the first one.
The server does not answer	An alert shows the error and the list stays empty.
Offline	This screen needs a connection. Expect an error alert.
A group has no description	The Description: line is hidden on that card.
After adding or editing	The list reloads on its own so counts and flags are current.

Manage Groups keeps no offline copy — it fetches fresh from the server each time you open it. There is no queue, so adding or editing a group needs a live connection.

tip

The Members: count on each card updates as people are added to or removed from the group, giving you a quick sense of each group's size. A group with zero members is usually one that was created and then forgotten.

How This Connects

• Where the data comes from. The group list is fetched from your agency's server every time you open this screen.
• What updates it. Adding and editing here; people joining or leaving open groups from Personal Profile → Agency Info; and assignments made on Manage Members. The Members: count is calculated on the server — you cannot type it in.
• Groups feed the member assignment popup. The Assign button on Manage Members opens a checklist of every group defined here, which is how you put a specific person in or take them out.
• Groups feed the invite defaults. The default groups pre-selected on the Add New Member form in Memberships are drawn from this list, so every new member starts in the right places.
• Groups decide who can vote. The Select Groups checklist when creating a poll on Voting Polls comes from here, and the eligible voter list is built from the members of the groups you pick.
• Message groups reach into messaging. A group with Message turned on becomes addressable in Messages List, New Chat, and Campaign Groups.
• Groups show on member records. The Groups: line on a member's detail popup in Manage Members, and the My Groups section a member sees on their own Personal Profile, both come from here.
• The group count is on the agency card. The group count in the summary block of Agency Profile reflects how many groups exist here.
• Alongside ranks and statuses. Groups say which team; ranks say what position; statuses say what standing. Together they make up a member's identity in command personnel views such as Command Resources.
• Offline and reconnect. Nothing is queued on this screen. Loading, adding, and editing all need a live connection. Reopen the screen once you are back online.

Troubleshooting

If this happens	What to do
You cannot reach this screen	It requires an agency administrator role. Ask an existing admin.
An error alert appears instead of cards	This screen needs a connection every time. Check your signal and reopen it.
"Please enter group name" blocks your save	Type a name and save again.
"Please enter abbreviation" blocks your save	The abbreviation is required. Type up to four characters.
The Abbreviation field stops accepting letters	It is capped at four characters by design. Shorten what you had in mind.
There is no delete button	Groups are not deleted from the app. Change the group's state on the server, or simply empty it of members.
A group's Members: count is wrong	The count comes from the server. Reopen the screen so it refetches.
Members complain they cannot leave a group	Private is turned on for it. Turn it off, or remove them yourself from Manage Members.
A group is not showing as a messaging destination	Turn on its Message flag.
A group is not controlling module access	Turn on its Module flag, then set the module rules in Agency Settings.
The Description: line is missing on a card	That group has no description. Edit it to add one.
A group you just created is not in the poll or assign lists	Those lists are filled in when their screens open. Close and reopen the screen you need.
A teammate's new group is missing	Reopen this screen. Server changes arrive on refresh.
