Calendar

See your shifts and events on a month grid and tap any day to view what is scheduled.

The Calendar screen is a month grid with the selected day's events listed beneath it. Colored dots under each date tell you at a glance which days are busy and whether you are involved. Tap a date to fill the list below, tap an event to open its full details, or use the Add (+) menu to create something new or search everything at once.

Calendar

Overview

ElementWhat it shows
Month labelThe month you are looking at
Date labelThe day currently selected
Month gridA full month, one cell per date, with event dots beneath the numbers
Event listEvery event on the selected day, newest layout first
Empty-state messageReplaces the list when the selected day has nothing on it
Add (+) buttonOpens a menu with Add New Event and Search

Today is always marked in the grid, and today's events are what you see the moment the screen opens.

Reading the dots

Each date cell shows up to three small dots, and a + when there is more than that.

Events on the dayWhat the cell shows
NoneNo dots
1One colored dot
2Two colored dots
3Three colored dots
4 or moreTwo colored dots, then a blue +

The dot colors are the same code used in the event list:

ColorMeaning
GreenAn External Event — something brought in from another calendar, which you cannot edit
RedAn event you are part of: you have been invited, or you have replied that you are attending
BlueAny other event on your agency's calendar

A date whose events have unread chat activity is filled in red, so you can spot conversation you have not caught up with without opening anything.

Reading the event list

ElementWhat it shows
TitleThe event's title
TypeThe event type, shown as "Type: Training" and so on. An event whose type is not in your agency's list shows "Type: -".
Left color barThe same green / red / blue code as the dots
Unread markerA star badge when that event has unread chat activity

Getting Here

  1. Open the app and sign in to reach Home.
  2. Tap Calendar.
  3. The current month appears with today selected and today's events listed underneath.

The app asks for calendar permission the first time if your agency syncs events to your phone's own calendar. Events load from the copy stored on your device first, then refresh in the background, so the screen is never blank while it waits on the network.

Viewing a Day's Events

  1. Tap any date in the month grid. The date label updates and the list below reloads for that day.
  2. Swipe the grid left or right to change month. Changing month also selects that month's page and reloads the list.
  3. Tap an event to open Event Detail.

Repeating events appear on every date they fall on, not just on the day they were created, so a weekly training shows a dot every week.

Creating an Event

  1. Select the day you want the event to start on.
  2. Tap the Add (+) button and choose Add New Event.
  3. Add or Edit an Event opens with that date already filled in, the start time set to now and the end time one hour later.
tip

Pick the date in the grid before you tap Add (+). The new event inherits the selected day, which saves you a trip through the date picker.

Searching Events

  1. Tap Add (+) and choose Search.
  2. Search Events opens with every event grouped under its date.
  3. Type to filter across titles, descriptions, types, locations and repeat settings at once.

Search is the right tool when you know something about an event but not when it is — a location name, a type, part of a title.

Deleting an Event From the List

  1. Press and hold the event in the day's list.
  2. The app asks, under the heading Delete: "Are you sure you want to delete this event?"
  3. Confirm with Delete, or back out with Cancel.
  4. The event disappears from the list and its dots come off the grid.
SituationCan you delete from here?
You created the eventYes
Someone else created itNo — press-and-hold does nothing
It is an External EventNo
caution

Only the person who created an event can delete it, and deleting removes it for everyone who was invited. If you only need to change a detail, open the event and choose Edit instead.

If your agency syncs to your phone's own calendar, deleting here also removes the matching entry from your phone.

Working Offline

ActionOffline behavior
Browsing months and daysWorks normally from the copy stored on your device
Opening an eventWorks normally
Creating an eventSaved on your device, shown on the grid right away, and sent to the server when you reconnect
Editing an eventSaved and queued the same way
Deleting an eventMarked inactive locally and applied on the server once you are back online
Joining a meeting from an eventNot available — it needs a connection

How This Connects

  • Where the data comes from. Events live on your agency's calendar on the server and are mirrored to your device. The screen loads from that local copy and then refreshes in the background, and it refreshes again whenever the app is told the calendar has changed — for example after a teammate invites you to something.
  • Event types. The list of types your agency uses, along with each type's default title, description, location and repeat setting, is configured by your administrator. That is what fills in automatically when you pick a Type on Add or Edit an Event.
  • Conferences. An event whose description carries a meeting link becomes joinable from Event Detail, using the same meeting service as Conferences. The ten-minute join window is described there.
  • Notifications. Invitations and changes to events you are on arrive as push messages; what you see and hear is controlled from Notification Settings, and the history is on Notifications.
  • Chat. The star badges on events and the red fill on dates are counting unread chat activity tied to that event, the same activity you would see on Messages.
  • Directory. The people you can invite come from your agency and mutual aid rosters in the Directory.
  • Your phone's calendar. If your agency turns on phone-calendar syncing, events you create, edit and delete here are mirrored into your device's own calendar app.
  • Offline and reconnect. Anything you create, change or delete offline is stored on the device and pushed in order once the connection returns.

Troubleshooting

If this happensWhat to do
A day shows dots but the list is emptyTap the date again. The list follows the selected date, and swiping months changes the selection.
An event you were invited to is missingPull the screen or reopen the Calendar so it refreshes, and check you are signed in to the right agency.
An event shows "Type: -"Its type is not in your agency's current list of event types. Ask your administrator, or edit the event and pick a type that is.
A repeating event only appears onceOpen it and check Repeat and End Repeat. A repeat that ended on a past date stops appearing.
Press-and-hold on an event does nothingYou did not create that event, or it is an External Event. Only the creator can delete.
An External Event cannot be changed at allThat is expected. External events come from another calendar and are read-only here.
Events are not appearing in your phone's calendarYour agency may not have phone-calendar syncing on, or calendar permission was declined. Check the permission in your phone's settings.
A date is filled in red and you do not know whyAn event on that date has unread chat activity. Open the event to clear it.
Nothing loads at allOpen the Calendar once with a connection so the local copy is built, then it works offline from then on.
