Event Detail
See everything about an event, reply to your invitation, get directions, and join a meeting.
The Event Detail screen shows one event in full: its title and description, when it starts and ends, how long it runs, its type, who created it, where it is, whether it repeats, and how everyone invited has replied. From here you answer your own invitation with a single tap, open the location on a map, start turn-by-turn navigation, and — when the event carries a meeting link — join the meeting.

Overview
| Element | What it shows |
|---|---|
| Title | The event name, in the header and again at the top of the card |
| Description | The event details. Hidden when there is no description. |
| Start / End | When the event runs, in your account's date format |
| Duration | The gap between start and end, written out as years, months, days, hours and minutes — for example "1 Hour, 30 Minutes" |
| Type | The event type from your agency's list |
| Created By | Who created the event. Shows your own name on events you made. Hidden when the creator cannot be matched to a person. |
| No Reply count | How many invitees have not answered |
| Attending count | How many said yes |
| Not Attending count | How many said no |
| Yes / No buttons | Your own reply |
| Location | The event location, with controls to open it on a map and to navigate to it. Hidden when no location is set. |
| Repeat | The repeat schedule |
| End Repeat | When the repeat stops. Shows Never when there is no end date, and the whole row is hidden when Repeat is Never. |
| Private | Whether the event is private |
| Share to Public | Whether the event is on the public calendar |
| Options control | Edit and, for events you created, Delete |
Opening the screen clears the unread marker for that event, so the star badge on the Calendar comes off. The screen also refreshes itself if the event is changed while you have it open.
Events marked External Event are read-only. On those, the options control, the invitee counts and the Created By row are all hidden, because the event came from another calendar and there is nothing here to change.
Getting Here
- Open Home, then tap Calendar.
- Tap an event in the day's list, or open one from Search Events.
You can also arrive from a notification about an event you were invited to.
Responding to an Invitation
- Find the Yes and No buttons.
- Tap Yes to say you are coming. The button turns green.
- Tap No to say you are not. The button turns red.
- The three counts update straight away to reflect your answer.

| Your current answer | What the buttons look like |
|---|---|
| You have not replied | Neither button is filled |
| Attending | Yes is filled green |
| Not attending | No is filled red |
Changing your mind moves you between the counts: you come out of No Reply or out of the other answer, and into the one you tapped. Tapping the answer you already gave does nothing.
Your reply is saved to your device immediately and sent to the server, so the organiser sees it. If you reply with no signal the answer is held and pushed once you reconnect.
Seeing Who Is Invited
- Tap the No Reply, Attending or Not Attending count.
- A list opens showing each person with their initials badge, their name and the agency they belong to. Your own row reads (My Profile).
- The badge color tells you which list you are in: grey for No Reply, green for Attending, red for Not Attending.
- Tap a person to open their Contact Detail, where you can call, text or email them.
- Tap Done to close the list.
Tapping a count with nobody in it does nothing, so an empty Attending count will not open an empty list.
Before a callout, tapping No Reply and working down that list with the call buttons on each person's contact record is the fastest way to chase the people who have not answered.
Opening the Location and Getting Directions
- Tap the location to open it on the map inside the app, centered on the event with its name on the pin.
- Tap the directions control to start turn-by-turn navigation from where you are to the event.
Navigation needs your location, so the app asks for location permission the first time and keeps a current fix while you have the screen open. It routes by road and avoids traffic where it can. If a route cannot be worked out — usually because there is no location fix yet or no connection — a short message explains why instead of starting navigation.
Joining a Meeting
Events that carry an online meeting link in their Description can be joined straight from this screen.
- Tap the description.
- If the event starts within the next ten minutes, the meeting opens and you join with your own display name.
- If it is still more than ten minutes away, the app shows "This meeting has not started yet" under the heading Alert.
| Situation | What happens |
|---|---|
| Start time is ten minutes away or less | You join the meeting |
| Start time is further off | You get the "has not started yet" message |
| A meeting is already running minimised | Tapping brings it back to full screen instead of joining again |
| The description holds no meeting link | Nothing happens |
| You have no connection | The app tells you an internet connection is required |
Once you are in, you can shrink the meeting to a floating window and keep using the app, then tap it to go full screen again.
Editing or Deleting
Tap the options control in the header. What it offers depends on who created the event.
| Menu item | When it appears |
|---|---|
| Edit | Whenever the options control is available |
| Delete | Only when you created the event and it is not an External Event |
- Edit opens Add or Edit an Event with every field filled in.
- Delete asks, under the heading Delete: "Are you sure you want to delete this event?" Confirm with Delete, or back out with Cancel.
- After deleting you are returned to the screen you came from.
Deleting removes the event for everyone invited, not just from your own calendar, and it cannot be undone. If your agency syncs to your phone's own calendar the matching entry is removed there too. If you only need to change a time or a location, use Edit.
The options control is hidden altogether when your role does not include calendar edit permission, and on External Event entries.
How This Connects
- Where the data comes from. The event is read from the copy on your device, which is kept in step with your agency's calendar on the server. The screen reloads itself when the app is told the event has changed, so a time moved by the organiser appears without you leaving the screen.
- RSVP. Your Yes or No is sent to the server as your reply, which is what the organiser and everyone else sees in the counts. The same reply model is used by RSVP Status for conferences.
- Conferences. Joining from the description uses the same meeting service as Conferences and Create a Meeting, including the floating-window behavior.
- Notifications. Invitations, changes and cancellations for events you are on arrive as push messages, controlled by Notification Settings and listed on Notifications.
- Directory. Names in the invitee lists link straight through to their Contact Detail records, with their phone numbers and emails.
- Map. The location opens the in-app Map Location view, and the directions control uses the same navigation as Map Direction.
- Chat. The unread markers on the Calendar count chat activity tied to the event; opening this screen clears them.
- Offline and reconnect. Reading the event and replying both work offline. Your reply, and any edit or deletion, are queued on the device and pushed when the connection comes back. Joining a meeting and turn-by-turn navigation both need a connection.
Troubleshooting
| If this happens | What to do |
|---|---|
| The Yes and No buttons do nothing | You have already given that answer. Tap the other one to change your reply. |
| Tapping a count does not open a list | Nobody is in that category yet. |
| A name in the invitee list has no agency shown | That person's record could not be matched to your agency or a mutual aid agency. |
| Tapping the description shows "This meeting has not started yet" | The event starts more than ten minutes from now. Come back closer to the time. |
| Tapping the description does nothing | There is no meeting link in the description. |
| Joining reports that an internet connection is required | You are offline. Meetings cannot be joined without a connection. |
| The directions control does nothing | The app has no location fix yet, or location permission was declined. Grant it in your phone's settings and wait a moment. |
| There is no options control | You do not have calendar edit permission, or this is an External Event. |
| Delete is missing from the options menu | You did not create this event. Only the creator can delete it. |
| The invitee counts and Created By are missing | This is an External Event, which does not carry that information. |
| End Repeat shows Never but you set a date | Open Edit and check End Repeat. A blank end date is displayed as Never. |
