Add a Contact

Create or edit a contact with as much or as little detail as you need.

This screen builds a complete contact record a section at a time. You start with the name card at the top, then work down the screen adding phone numbers, emails, addresses, websites, access codes, Wi-Fi networks, sub contacts and notes. The same screen is used for editing, so everything below applies whether you are creating someone new, tidying up an existing record, or finishing off a contact you imported from your phone.

Add a contact

Overview

The header reads Add when you are creating and Edit when you are changing an existing record.

Sections down the screen

SectionAdd row at the bottomWhat it holds
Name card—The contact's names, color, Type and Relation
AddressAdd new addressStreet addresses
PhoneAdd new phoneNumbers with labels and text/fax/voice flags
EmailAdd new emailLabeled email addresses
WebsiteAdd new websiteLabeled web links
Access CodeAdd access codeGate, lockbox and door codes
Wifi NetworkAdd wifi networkNetwork names, passwords and security types
Sub ContactAdd sub contactPeople linked to this contact
Notes—One free-text note field

Each section grows as you add to it. Entries within a section are kept in alphabetical order by their label, so a list of station numbers stays predictable.

The name card

FieldNotes
Company NameFor records that are an organization rather than a person. Hidden when you are adding to your own agency's roster, where every record is a person.
FirstThe person's first name
MiddleOptional
LastThe person's last name
ColorTap to open the color picker. The chosen value appears beside the swatch and becomes the contact's badge color everywhere in the Directory. The default is black.
TypeThe contact type, where your agency uses one
RelationThe relationship, where your agency uses one

Getting Here

  1. Open Home, then tap Directory.
  2. Open the group the contact should live in.
  3. Tap Add (+), then Add New Contact — or Import Contact to start from someone already in your phone's address book.

To edit instead, open a contact and choose Edit from the options menu on Contact Detail.

Filling In the Name Card

  1. Enter the name fields. You need at least one of Company Name, First, Middle or Last — a record with no name at all cannot be saved.
  2. Tap Color and choose a color from the picker. Pick something your crew will recognise at a glance: one color for stations, another for vendors.
  3. Set Type and Relation if your agency uses them.

Name fields

tip

Use Company Name on its own for anything that is not a person — "Station 4 Gate", "Bay Area Mutual Aid Dispatch". The Directory shows the company name in place of first and last name, which keeps the list readable.

Adding Phone Numbers, Emails, Websites and Access Codes

These four use the same small popup.

  1. Tap the add row at the bottom of the section — Add new phone, Add new email, Add new website or Add access code.
  2. The popup opens with a matching title and a label and value field. See Add User Info for every field and every validation message.
  3. Fill it in and save. The entry appears in its section.

Add new emailAdd Email AddressEmail Address NameEmail Address
Add new websiteAdd WebsiteWebsite NameWebsite Url
Add access codeAdd Access CodeAccess Code NameAccess Code
tip

For phone numbers, set the Text, Fax and Voice flags in the popup. Teammates looking at the contact then know at a glance whether a number will take a text message or only rings a fax machine.

Adding an Address

The address popup has more fields than the others because an address needs parts.

  1. Tap Add new address.
  2. Fill in the fields:
FieldNotes
Address typeThe label for this address, such as Station or Mailing. Required — leaving it blank shows "Enter address name".
Street
UnitSuite, apartment or bay number
City
State
Country
Zip code
  1. Instead of typing it all, use the select-from-map control. The map search screen opens; pick a place and the street, city, state, country and ZIP come back filled in for you. See Search Event Location for how that screen works.
  2. Save. The address appears in the section as street, unit, city, state, ZIP and country on separate lines.
tip

Filling an address from the map is the reliable way to get directions that work later. A hand-typed address with a missing ZIP often routes to the wrong part of town.

Adding a Wi-Fi Network

  1. Tap Add wifi network. The popup opens titled Add Wifi Network.
  2. Fill it in:
FieldNotes
Network nameThe network's name. Required — blank shows "Enter network name".
PasswordRequired — blank shows "Enter network password". Use the show-password control to check what you typed.
Security typeChoose from the list below. Leaving it unset shows "Select security type".
Hidden networkTurn on for a network that does not broadcast its name
Security type option
None (Open)
WEP
WPA/WPA2 Personal
WPA3 Personal
WPA2/WPA3 Transition
  1. Save. The network appears in the Wifi Network section, and on Contact Detail it gains a scannable join code so crews can get on the network without typing the password.

Adding a Sub Contact

Sub contacts are the people attached to a main record — a next of kin, a supervisor, a second contact at a vendor.

  1. Tap Add sub contact. A full screen opens titled Add Sub Contact.
  2. Fill in the name card, then add the sub contact's own addresses, phone numbers, emails, websites, access codes and notes using the same add rows as above.
  3. Two fields are required on a sub contact that are optional on a main contact:
FieldOptionsMissing value shows
TypeWork, Emergency"Select contact type"
RelationFriend, Spouce, Wife, Husband, Supervisor, Boss, Employer, Mom, Dad, Son, Daughter"Select contact relationship"
  1. Save. The sub contact appears in the Sub Contact section showing their name, type and relationship. Sub contacts do not carry Wi-Fi networks of their own.
note

The Add sub contact row is only offered while you are editing your own profile record. On other people's records the section still displays any sub contacts already saved, but you cannot add more from here.

Editing or Deleting One Entry

Every entry in every section has its own edit and delete controls.

  1. Tap the edit control on the row. The matching popup reopens with the current values, titled Edit Phone Number, Edit Email Address, Edit Website, Edit Access Code, Edit Address or Edit Wifi Network.
  2. Change what you need and save.
  3. To remove an entry, tap its delete control. The app asks "Are you sure you want to delete this record?" — confirm with Delete or back out with Cancel.
caution

Deleting an entry here removes it from the contact for everyone once you save the contact. It is not a local change.

Adding Notes

Scroll to the bottom and type into the Notes field. Use it for anything that does not fit the structured sections — access instructions, the best time to call, which bay a key is in.

Saving

  1. Tap Save.
  2. If the record has no name at all, the app shows "Enter contact details" and nothing is saved. Add a name and save again.
  3. On success you return to the group, with the contact in place.

If you leave the screen with unsaved edits, the app asks "Do you want to save changes?" under the heading Data Updated:

ChoiceWhat happens
SaveSaves and leaves. If the record still has no name you get "Enter contact details" instead.
CancelLeaves without saving your edits
note

Contacts you create or edit while offline are stored on your device, appear in the Directory right away, and are sent to the server the next time you have a connection. Nothing is lost if you close the app in between.

How This Connects

  • Where the data goes. Saving writes the contact into your agency's Directory record on the server, so teammates see it once their app refreshes. Records added to your own agency's roster and records added to other groups are stored slightly differently on the server, which is why the Company Name field is hidden in the agency roster.
  • Contact Detail. Everything you enter here is what Contact Detail displays and acts on: phone numbers become call and text buttons, addresses become map and directions taps, Wi-Fi networks gain a scannable join code.
  • Phone. Numbers saved here are what the app dials when someone picks REDENES Phone, the same service behind the Phone Dialer.
  • Map. Filling an address from the map uses the same place search as Search Event Location, and the coordinates it captures are what later power directions.
  • Chat. Adding a phone-book style contact does not create a chat partner. Only people with their own REDENES sign-in show a chat button on the Directory list.
  • Your phone's address book. Import Contact in the group's Add (+) menu pre-fills this screen from your phone; once saved the two records are independent.
  • Offline and reconnect. New contacts, edits and deletions made offline are queued on the device and pushed in order when the connection comes back.
