Inventory Dashboard

A live, at-a-glance summary of how much equipment your agency has and how it is assigned.

The Inventory Dashboard gives you a quick read on your agency's stock without opening individual records. A row of colored tiles across the top shows totals for the whole agency, and below that each category gets its own card breaking down the same counts. The dashboard is read-only, so it is a safe place to check numbers, and it loads instantly from saved data even when you are offline.

Inventory Dashboard summary tiles and category cards

Overview

The screen has two parts: a horizontally scrolling row of summary tiles, then a list of category cards. Both use the same five counts, in the same order.

CountTile colorWhat it means
TotalGreenEvery item, whatever its assignment.
In ServiceBlueItems whose assignment type is frontline duty.
BackupOrangeItems held as backups.
SparePurpleItems kept as spares.
ReserveRedItems held in reserve.

The header reads Dashboard. Each category card is titled Category: followed by the category name.

note

The Reserve tile and the Reserve column on each card currently read 0. The stock summary your agency's server sends back does not yet include a reserve count, so the app has nothing to fill in. Items you have marked with the reserve assignment type are still counted in Total — to see them, filter or scan the Items list.

Getting Here

  1. Open the Account tab and tap the Inventory module.
  2. On the Inventory landing screen, tap Dashboard.
  3. The dashboard opens with the header Dashboard at the top and a brief loading spinner while it fetches fresh numbers.
  4. Tap the Back arrow to return to the Inventory landing screen.

An agency administrator can also reach this screen from Agency Settings → Inventory → Dashboard.

Reading the Summary Tiles

  1. Look at the row of colored tiles across the top of the screen. These are the agency-wide totals: Total, In Service, Backup, Spare, and Reserve.
  2. Each tile shows its label in small text with a large number underneath, both in the tile's color.
  3. Swipe the tile row left and right if it extends past the edge of the screen, so you can see every count. The row scrolls sideways on its own — the rest of the screen does not move with it.
  4. The tile numbers are added up from every category card below, so they always match the sum of the list.

Reading the Category Cards

  1. Scroll down past the summary tiles to see one card per category.
  2. Each card shows the category name at the top, prefixed with Category:.
  3. Below the name, the card repeats the same five columns — Total, In Service, Backup, Spare, and Reserve — counted only for that category.
  4. Scroll the list to review every category. There are no buttons to tap on these cards; the dashboard is for viewing only.

What counts toward each number

ColumnCounts items where…
TotalThe item belongs to this category, regardless of status or assignment.
In ServiceThe item is assigned to frontline duty.
BackupThe assignment type is backup.
SpareThe assignment type is spare.
ReserveNot yet supplied by the summary feed — reads 0.

Categories with no items still appear, showing zeros across the board. A category only drops off the dashboard if it has no name or no identity on the server, which should not happen in normal use.

info

The dashboard is read-only. To add or change equipment, use the Items or Categories screens instead.

Loading, Empty, and Offline States

The dashboard is deliberately quiet about connection problems, because showing you slightly old numbers is more useful than showing you nothing.

SituationWhat you see
Opening while onlineThe saved numbers appear immediately, then a spinner runs briefly and the numbers refresh from the server.
Opening while offline, with saved dataThe saved numbers appear immediately and stay put. No error message.
Opening while offline, never syncedThe screen is blank with no cards. Go online once and reopen it.
Online but the server does not answerYour saved numbers stay on screen and no alert appears. If there were no saved numbers, the app shows the error it received.
A category has no equipment yetIts card still shows, with 0 in every column.
tip

When you reopen the dashboard, it shows the last numbers it saved before fetching fresh data. If you are online, the counts refresh automatically a moment later, so a quick glance is never blocked by a slow connection.

How This Connects

  • Where the data comes from. The dashboard asks your agency's server for a stock summary, one row per category, and saves the whole answer on your device so the next visit paints instantly.
  • What updates it. The numbers are calculated on the server from your agency's item records. So anything that changes an item changes these counts: saving a new item or editing an existing one on the Items screen, deleting an item, or a teammate doing the same from their own device or the admin tools.
  • Category names come from Categories. Rename a category on the Categories screen and the dashboard card title changes with it. Delete a category and its card disappears; the items that were inside it become uncategorized and turn up under Uncategorized in Browse Items.
  • Assignment types drive four of the five columns. The In Service, Backup, Spare, and Reserve columns are all just tallies of the Assignment field on each item record.
  • Screens that share this data. Items, Categories, and Browse Items read the same saved item and category copies. The dashboard, though, reads a separate summary that is calculated on the server.
  • Offline and reconnect. Because the summary is calculated server-side, changes you make offline do not move these numbers straight away. They update after your queued changes have reached the server and you reopen the dashboard while online. The item and category lists, by contrast, reflect your offline changes immediately.
  • Related surfaces. Responders who want a live status rather than a stock count should look at the status bar; administrators reach this same dashboard from Agency Settings.

Troubleshooting

If this happensWhat to do
The Reserve tile always shows 0Expected for now — the summary feed does not include a reserve count. Check the Items list for items assigned as reserve.
The screen is completely blankYou have never opened the dashboard on this device while online. Connect and reopen it.
Numbers do not match what you just savedYour change may still be queued. Reopen the Items list while online so the queue sends, then come back.
Numbers look out of date even though you are onlineLeave the screen open for a moment — the refresh runs a second behind the first paint. Or tap Back and reopen.
A category you deleted still shows a cardThe card clears once the server has processed the deletion and you reopen the dashboard while online.
An error message appears instead of numbersThis only happens when there is nothing saved to fall back on. Check your connection and try again.
A category card is missingCategories with no items still appear. If one is absent entirely, check it still exists on the Categories screen.
